Digitalising for efficiency
We are driving transparency and collaboration across the Service, for efficient and improved public service delivery through the optimisation and automation of work processes in the OHCSF using an Enterprise Content Management Solution (ECMS). The ECMS enables the adequate capture and retention of institutional knowledge and serves as a tool for accountability in the OHCSF.
With funding from Coronation Group, our private sector partner, the implementation of the ECMS involved baseline and midline studies of the progress of the OHCSF. The analysis of the data has revealed a tremendous increase in the adoption of digital work processes in the OHCSF and its resultant impact across the Service.
To build sustainability into our work and ensure scalability and replicability, we took the following steps:
→ The certification of the OHCSF to the ISO 9001:2015 Quality Management System standard in 2023, validating that their work processes have been duly documented and systems have been put in place to ensure quality and efficient service delivery.
→ Training of staff of the OHCSF on the use of the ECMS. This training has also commenced in other MDAs.
→ The joint development of Personal IT and Electronic Devices (PITED) Use guidelines to manage the allocation and use of IT devices for work purposes. This also ensures that all OHCSF-owned IT devices are well captured on a database before being assigned to an individual for use while also capturing the details of the individual being assigned the device.
→ Collaboratively developing the ECMS implementation guidelines for other MDAs to follow to ensure that there is a standardised approach to digitalisation.
→ To ensure professionalism, we supported the development of an Email Use policy that among other things, mandates the use of official email addresses for official correspondence.
Private Sector Partners
The digitalisation of the OHCSF is a pilot and the first in our efforts to support the same across the Federal Civil Service for improved service delivery to the public We are also currently supporting other MDAs with their digitalisation efforts.
We are also supporting the Enterprise Workspace Management Solution (EWMS) of the OHCSF which is aimed at ensuring that workspaces in the Federal Secretariat Complexes are being digitally managed to improve office allocation and maintenance. This project also supports the collaboration and accountability of team members by allocating office spaces to MDAs in a manner that ensures their staff are collocated close to each other.
With funding from Access Bank, we were able to provide laptops to the team in the OHCSF driving the reallocation of office spaces. The devices were needed to collate data on the present location, size, and status of the offices for remapping and reallocation to be done.
